Studio Terms and Conditions
At Hudson Wren, we provide a custom portrait experience designed with care, preparation, and dedicated studio time. Our sessions and ordering appointments are reserved exclusively for each client, and our team works across locations to create a thoughtful, high-touch experience from start to finish.
By booking with Hudson Wren, you agree to the following terms and conditions.
Booking and Reservation Credit
A $100 reservation credit is required to secure your portrait session date. This credit is applied toward your experience as outlined at the time of booking.
The reservation credit holds your appointment time and confirms your commitment to attend both your portrait session and your Zoom ordering appointment.
Special Offers, Gift Certificates, and Complimentary Portraits
From time to time, Hudson Wren may offer special promotions, gift certificates, complimentary sessions, complimentary prints, discounts, or promotional credits.
These offers are only valid when the full experience is completed, including:
Attending your scheduled portrait session
Attending your scheduled Zoom ordering appointment
Selecting your portrait within the required redemption window
Any special offer, gift certificate, complimentary print, discount, or promotional credit must be redeemed within 3 weeks of your portrait session date. After that window, the offer is forfeited and cannot be redeemed later.
If you miss your portrait session or miss your Zoom ordering appointment, any active special offer, gift certificate, complimentary print, discount, or promotional credit is forfeited and is no longer valid.
No exceptions will be made.
Rescheduling Policy
We require at least 7 days’ notice to reschedule your portrait session. With proper notice, your reservation credit will be transferred to your new date, subject to availability.
Rescheduling within 7 days of your portrait session requires a new $100 reservation credit.
One Zoom ordering appointment is included with your experience. If your Zoom ordering appointment needs to be rescheduled, it must be rescheduled within 3 weeks of your portrait session date and is subject to availability.
If a session or Zoom ordering appointment is rescheduled more than once, a non-refundable $100 rescheduling fee will apply. This fee may be applied toward any portrait purchase.
Cancellations and No-Shows
If you cancel your portrait session with less than 7 days’ notice, your reservation credit is forfeited.
If you do not attend your portrait session, your reservation credit is forfeited, and any active special offer, gift certificate, complimentary print, discount, or promotional credit is no longer valid.
If you do not attend your Zoom ordering appointment, your reservation credit will be forfeited, and any active special offer, gift certificate, complimentary print, discount, or promotional credit will no longer be valid.
Missed appointments cannot be used to extend the redemption period.
Appointment Policies
Please arrive on time for your portrait session. Arriving 15 minutes or more late to your portrait session will result in automatic cancellation and forfeiture of your reservation credit.
Your Zoom ordering appointment is a required part of the portrait experience. Arriving 10 minutes or more late will be considered a missed appointment and will result in automatic cancellation, forfeiture of your reservation credit, and forfeiture of any included gift artwork, complimentary portrait, special offer, or promotional credit.
Your Zoom ordering appointment is where you view your portraits, select your included portrait if applicable, and place any additional orders. Because this appointment is reserved exclusively for you, missed appointments result in the forfeiture of any active offer or gift certificate.
Refund Policy
Due to the custom nature of our products, all sales are final. This includes printed artwork, albums, wall art, and digital files.
We do not offer refunds or exchanges once a purchase has been made.
All payments made toward a payment plan are non-refundable. Artwork production begins immediately upon receipt of payment.
If a payment plan is cancelled after the initial payment, the artwork is considered in production, and the remaining balance becomes immediately due and payable. The balance may be charged to the card on file.
If a payment plan is cancelled before any payment is made, no charges will be processed.
Client Files and Portrait Availability
We understand how meaningful these portraits are, and we want each client to have the opportunity to view and select their images.
Portrait files are guaranteed to be available for 28 days following your session date. After this window, we can no longer guarantee that your files will remain available.
Your Zoom ordering appointment must be completed within this timeframe. Missed appointments, delays, or failure to schedule within the required window may result in your portraits becoming unavailable.
Product Warranty
Hudson Wren offers a lifetime warranty covering defects in our printed artwork and finished products.
This warranty applies to craftsmanship and product defects. It does not apply to normal wear and tear, improper handling, damage caused after delivery, or failure to follow care instructions.
Final Agreement
By booking your portrait session, you acknowledge and agree to these terms and conditions.
